Job Title: Behavioral Health Clinic Receptionist

Location: Bismarck Psychological Associates, PLLC

Status: Part-time, provisional temporary coverage, varying schedule as needed (Monday-Friday)

Bismarck Psychological Associates, PLLC, is seeking a motivated, friendly, detail-oriented individual to fulfill the job duties of a part-time (as needed) receptionist within a busy mental health clinic.

POSITION SUMMARY:

Seeking an individual to provide flexible reception coverage for the clinic office manager, as needed. The receptionist works closely with behavioral health providers and other clinic staff and is the first line of communication between clients and therapists at the clinic, both in-person and over the phone; therefore, qualified candidates must have excellent communication and customer service skills. Additionally, qualified candidates must be highly organized, with the ability to competently multitask within a fast-paced clinic environment.

DUTIES AND RESPONSIBILITIES:

Greeting, checking in, and/or directing all clients and visitors within the clinic.

Notifying providers when clients arrive for their appointments.

Receiving and screening all incoming phone calls; taking messages and/or forwarding calls to appropriate clinic staff.

Answering questions and providing general information to clients, as appropriate.

Scheduling client appointments and rescheduling clients, as needed.

Making next day appointment reminder calls to clients.

Verifying client insurance information at each visit.

Maintain confidential information in electronic health record.

Obtaining and scanning paperwork and other pertinent information (e.g., insurance cards, medical records, etc.) to electronic health record.

Maintaining cleanliness and order in the reception and waiting room areas.

Sending and receiving general clinic fax and email communications, as well as correspondence with clients.

Filing and maintaining orderliness of documents in file drawers.

Making copies of forms and preparing paperwork for clients.

Additional administrative duties, as assigned.

QUALIFICATIONS AND EXPERIENCE:

High school diploma (or GED).

Legally authorized to work in the United States.

Receptionist experience is required; medical office experience preferred.

Must be detail-oriented with strong organizational skills.

Ability to competently multitask within a busy environment.

Strong written and verbal communication skills.

Knowledge of general office machines, telephone systems, fax machines, PDF operations, and other information systems.

Experience using electronic health record preferred.

Fluent in the use of basic computer software (e.g., Microsoft Word and other computer program applications).

Strict adherence to a high degree of discretion when dealing with confidential information is a requirement; knowledge of the HIPAA Privacy Rule regulations is preferred.

Sensitivity to the needs of persons with physical, emotional, and cognitive/developmental disabilities.

Self-motivated and able to work independently, while also demonstrating willingness to accept direction and feedback.

Must demonstrate a strong work ethic, including reliability, integrity, responsibility, self-discipline, cooperation, and professionalism.
